We do not sell your data. We do not use advertising networks. Some features use OpenAI for AI processing; your data is not used to train AI models.

Who We Are

Travel by Trinidad is a family-run concierge-style travel agency based in West Orange, New Jersey. We help families, couples, and groups plan cruises, all-inclusive resort vacations, Disney trips, honeymoons, and specialty travel experiences.

This privacy policy applies to our website at www.travelbytrinidad.com, our Travel by Trinidad mobile applications for iOS and Android, and any related services we provide (collectively, the "Services").

What This Policy Covers

This policy explains what personal information we collect, how we use it, when we share it, and the choices you have. It covers:

  • Our marketing website (travelbytrinidad.com)
  • Our iOS and Android mobile apps for trip planning and management
  • Backend services that power app features (trip storage, collaboration, email import, AI chat)
  • Any communications you have with our team

Information We Collect

Contact Information

When you create an account, submit a contact form, or communicate with us, we collect your name and email address. This allows us to identify your account, respond to inquiries, and send important service updates.

Account & Profile Data

If you create an account in our app, we store your authentication credentials (via Apple Sign-In or Google Sign-In). We may also store profile preferences you set within the app, such as loyalty program numbers and an optional profile photo. Your profile photo is visible to trip companions you collaborate with.

Trip & Itinerary Data

Our app allows you to create and manage trip itineraries. This includes:

  • Trip names, dates, and destinations
  • Itinerary items (flights, hotels, activities, reservations)
  • Notes and custom details you add
  • Companion information (names/emails of people you invite to shared trips via Crew)

When you invite companions to a trip, they can view and edit shared trip content based on the permissions you grant. You can remove access at any time.

User Content

You may upload content to the app, including:

  • Documents: Travel confirmations, tickets, or other files you store for reference (Pro feature)
  • Photos and Videos: Images you upload to Time Capsule trip albums

This content is stored securely and associated with your account. You control what you upload and can delete it at any time.

Email Import Data

Our app can automatically create trip itineraries from booking confirmation emails. Here's how it works:

  • Subscribers forward booking confirmations to: import@travelbytrinidad.com
  • Agency clients forward booking confirmations to: bookings@travelbytrinidad.com

When you forward an email, we process the email content and any attachments (such as PDF confirmations) to extract booking details like dates, confirmation numbers, and vendor information. This data is then added to your trip itinerary. The forwarded email content is archived and linked to your trip for reference and to enable features like document extraction.

Important: We do not require access to your email inbox or mailbox credentials. You choose exactly which emails to forward. We only process the specific emails you send us. Forwarded emails are not used for marketing and are not shared with third parties for advertising.

Location Data

Our app may request access to your device's coarse location (city-level) if you enable the Local Gems feature, which provides destination-specific recommendations and tips.

Location access is completely optional. Core app functionality (creating trips, managing itineraries, uploading photos) does not require location access. We do not continuously track your location, and we do not collect precise GPS coordinates.

Purchase Information

If you subscribe to Travel by Trinidad Pro, your subscription is processed through Apple's In-App Purchase (iOS) or Google Play Billing (Android). We use a subscription management service to verify your subscription status and entitlements.

We receive confirmation of your subscription status (active, expired, etc.) but do not have access to your payment details such as credit card numbers. Subscription management is handled through your Apple ID or Google account.

Usage & Diagnostics

To improve app stability and performance, we collect:

  • Crash reports: Technical information when the app encounters an error
  • Performance data: App load times and error rates

This diagnostic data helps us identify and fix bugs. It does not include the content of your trips, photos, or documents. Crash reports may include device type, OS version, and the sequence of actions that led to an error.

How We Use Information

We use the information we collect to:

  • Provide app functionality: Create and sync your trips, enable collaboration with travel companions (Crew), import booking confirmations, store your travel documents, and power the Miggs AI assistant.
  • Deliver customer support: Respond to your questions, troubleshoot issues, and help you plan your travels.
  • Improve our products: Analyze crash reports and performance data to fix bugs, enhance features, and develop new functionality.
  • Communicate with you: Send service updates, respond to inquiries, and (with your consent) share travel tips or promotions.
  • Ensure security: Protect against unauthorized access, fraud, and abuse of our Services.

AI-Powered Features

Several features in our app use artificial intelligence provided by OpenAI, a third-party AI service. When you use these features, certain data is sent to OpenAI for processing. Your data is not used to train AI models.

Which Features Use AI

  • Miggs (AI Travel Assistant): When you chat with Miggs, your messages and relevant trip details (destination, dates, itinerary items) are sent to OpenAI to generate responses.
  • AI Postcards: When you create a postcard from a Time Capsule photo, the photo and your destination are sent to OpenAI to generate stylized artwork.
  • AI Captions: When you request caption suggestions, your destination and trip context are sent to OpenAI to generate social media captions.
  • Email Parsing: When you forward booking confirmation emails, the email content is processed by OpenAI to extract trip details like dates, confirmation numbers, and vendor information.

What Data Is Shared with OpenAI

  • Photos you select for postcard generation
  • Trip details: destination names, dates, itinerary items
  • Chat messages you send to Miggs
  • Forwarded booking email content

How OpenAI Handles Your Data

We use OpenAI's API with data processing agreements in place. Under these agreements:

  • Your data is not used to train or improve OpenAI's models
  • Data is processed only to generate the requested output (image, text, or parsed data)
  • OpenAI may retain API inputs and outputs for up to 30 days for abuse monitoring, after which they are deleted

Your Consent

You are asked to review and accept our AI data disclosure before using AI-powered features for the first time. You can review this disclosure at any time in the app settings.

Sharing & Disclosure

Service Providers

We work with trusted service providers who help us operate our Services:

  • Cloud hosting and storage: For secure data and file storage
  • Email processing: For handling forwarded booking confirmations
  • Crash reporting: For collecting and analyzing app errors
  • Subscription management: For verifying subscription status
  • AI services (OpenAI): For email parsing, the Miggs chat assistant, AI postcard generation, and AI caption suggestions (see AI-Powered Features)

These providers only access your data as needed to perform their services and are contractually obligated to protect your information.

Trip Companions (Crew)

When you invite someone to collaborate on a trip via Crew, they can see the trip content you've chosen to share. You control who has access and can remove companions at any time from your trip settings.

Legal Requirements

We may disclose your information if required by law, such as in response to a valid subpoena, court order, or government request. We may also disclose information to protect our rights, your safety, or the safety of others.

We Do Not Sell Your Data

We do not sell, rent, or trade your personal information to third parties for their marketing purposes. We do not use your data for third-party advertising. We do not share your information with advertising networks.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with our Services. Specifically:

  • Account data: Retained until you delete your account
  • Trip data: Retained until you delete the trip or your account
  • Uploaded content (photos, documents): Retained until you delete it or your account
  • Forwarded emails: Archived and linked to your trips; deleted when you delete the associated trip or your account
  • Diagnostic data: Typically retained for up to 90 days

After account deletion, we may retain certain information as required by law or for legitimate business purposes (such as resolving disputes or enforcing our agreements).

Your Choices & Controls

Access & Update Your Information

You can access and update most of your personal information directly within the app. This includes your profile details, trip content, uploaded documents, and photos.

Export Your Data (Portability)

You have the right to request a copy of your personal data in a portable format. To request an export of your data, contact us at support@travelbytrinidad.com. We will provide your data in a commonly used, machine-readable format within 30 days.

Delete Your Account & Data

You can request deletion of your account and all associated data by:

Upon deletion request, we will permanently remove your account and personal data,including trips, photos, and documents,within 30 days, except where retention is required by law.

Disable Location Permissions

You can disable location access at any time through your device's Settings app. The app will continue to function normally; you simply won't have access to location-based features like Local Gems recommendations.

Manage Subscriptions

Subscriptions are managed through your app store account:

  • iOS: Go to Settings → [Your Name] → Subscriptions on your device
  • Android: Go to Google Play Store → Menu → Subscriptions

Marketing Communications

You can opt out of promotional emails by clicking the "unsubscribe" link in any marketing email or by contacting us directly.

Children's Privacy

Our Services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take steps to delete that information promptly. If you believe a child has provided us with personal information, please contact us at support@travelbytrinidad.com.

International Transfers

Travel by Trinidad is based in the United States. If you access our Services from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States where our servers are located. By using our Services, you consent to this transfer. We take appropriate measures to ensure your data is protected in accordance with this privacy policy.

Security
